Office Manager & Regional HR Administrator

About the role

This dual‑scope position combines hands‑on office management with full‑cycle regional HR administration. You will be the single point of accountability for day‑to‑day office operations, vendor and facilities management, corporate governance liaison, and financial systems support, while independently owning HR processes across Singapore, Hong Kong and Japan.

Key responsibilities

• Act as primary contact for local employees and regional stakeholders on office operations, facilities, and administrative matters.
• Liaise with the Company Secretary, Legal and Compliance teams to ensure statutory filings, corporate records, SFC licensing and regulatory compliance.
• Oversee workplace health, safety, fire/building compliance, business continuity and corporate insurance programmes.
• Manage accounts payable, office operating expenses, departmental budgets and act as local SAP Concur expert for expense and travel management.
• Lead day‑to‑day facilities management, vendor contracts, service level agreements and lease coordination.
• Coordinate documentation for external audits, tax assessments and corporate reporting requirements.
• Drive continuous‑improvement initiatives to enhance operational efficiency and workplace experience.

Required profile

• Versatile, discreet and detail‑obsessed professional comfortable working independently in a regulated financial‑services environment.
• Strong organisational and stakeholder‑management abilities across multiple jurisdictions.
• Experience handling corporate governance, statutory compliance and HR lifecycle processes regionally.
