Purchasing Officer (Sourcing)

About the role

The Purchasing Officer (Sourcing) is responsible for identifying, evaluating and recommending suitable vendors and suppliers for HKIS. The role involves negotiating pricing, delivery terms and service agreements while ensuring procurement activities support departmental needs, timelines and budgets.

Key responsibilities

• Research products, suppliers and vendors to ensure purchases are made from reputable sources.
• Shortlist and summarize potential vendors based on criteria such as company size, reputation and years in operation.
• Negotiate prices and recommend vendors using a scoring system.
• Create and maintain approved preferred supplier lists and standard product lists.
• Facilitate easy purchasing for internal customers by providing clear vendor, product and pricing information.
• Respond to internal enquiries, provide updates on vendors, pricing and delivery timelines.
• Evaluate vendor performance regularly and troubleshoot delivery or quality issues.
• Process purchase requisitions and orders, follow up on outstanding POs and keep procurement system data up‑to‑date.

Required profile

• Diploma or higher in purchasing, logistics or a related field.
