About the role
The Hong Kong Jockey Club is looking for a dedicated Administration Assistant to support its Part‑Time Staff (PTS) programme. You will be responsible for accurate roster management, payroll assistance and day‑to‑day staff administration across race days and non‑race days.
Key responsibilities
- Create, maintain and publish weekly rosters on time and in line with established standards.
- Manage daily roster changes, including shift swaps, on/off arrangements and manpower adjustments.
- Handle enquiries from part‑time staff regarding schedules, salary, attendance and policies via designated channels.
- Maintain performance rating records and related administration files for part‑time staff.
- Assist with payroll processing, attendance procedures and other administrative tasks, ensuring accuracy and timeliness.
- Produce regular operational reports and manpower summaries for Section Heads and HR.
- Perform Check‑In Counter duties on race days and non‑race days using digital attendance or biometric systems.
- Enroll PTS in the Facial Recognition system and provide basic support for related digital tools.
- Support training coordination, including preparation of materials and assistance to IVE lecturers.
- Contribute to continuous‑improvement and digital‑transformation initiatives related to rostering, attendance and payroll.
- Assist staff with setup and use of HR and workforce digital platforms, ensuring access to schedules, pay information and training materials.
- Monitor mandatory online training completion and follow up with staff as needed.
- Undertake other assignments and projects as directed by management.
Required profile
- Strong attention to detail and ability to manage multiple roster changes accurately.
- Good communication skills for handling staff enquiries and providing support.
- Familiarity with digital attendance, biometric and facial‑recognition systems.
- Ability to produce clear operational reports and summaries.
- Proactive attitude toward process improvement and digital initiatives.
