Receptionist – Facilities Support

About the role

Interactive Brokers is seeking a Facilities Receptionist to join its front‑office team. You will be the first point of contact for visitors and clients, providing a professional and welcoming experience while supporting daily administrative operations.

Key responsibilities

• Greet guests, collect initial account opening documentation, and direct visitors to appropriate personnel.
• Answer phones, field calls, address inquiries, and route messages promptly.
• Manage incoming and outgoing mail, parcels, and delivery arrangements.
• Maintain meeting‑room schedules, update calendars, and coordinate meeting logistics.
• Order and stock office and pantry supplies, ensuring inventory levels are adequate.
• Coordinate catering orders for staff events.
• Assist with the execution and filing of corporate documents.
• Provide ad‑hoc administrative support as assigned by management.

Required profile

• Exceptional client‑service orientation with a friendly, presentable, and professional demeanor.
• Strong attention to detail and ability to complete tasks accurately and efficiently.
• Proactive, flexible, and responsible team player.
• Ability to work independently and manage multiple responsibilities.

Required skills

• Fluency in Cantonese, Mandarin and English.
